Under the direction of the HoHRET, provide administrative support in the management of supplier SEDEX registration, monitoring of Self-Assessment Questionnaires and summarising actions required in maintaining compliance with our requirements on SMETA ( Sedex Members Ethical Trade Audits) and BSCI (Business Social Compliance Initiative) audits . This is the primary responsibility.

The Corporate Relations team is currently comprised of four permanent roles:

 

  • Corporate Relations Director

  • Head of Human Rights & Ethical Trading

  • Corporate Relations Manager

  • Responsible Sourcing Assistant (NEW – title amended from Ethical Trading Assistant)

     

    The Responsible Sourcing Assistant reports into the HoHRET

     

    The role requires significant interaction with commercial and technical teams, as day to day colleague engagement with these teams is critical.

     

Principal Responsibilities

 

The RSA is responsible for SEDEX/SMETA monitoring suppliers in every aspect of the Group supply chain – imported, ingredients, packaging and indirect suppliers.

 

The RSA is required to communicate effectively not only with the HoHRET but all stakeholders in our Commercial and Technical functions and site HR teams.

 

The RSA is also be required to liaise as required with SEDEX on administration matters related to Princes membership and any issues that arise relating to supplier administration.

 

A number of other sustainability areas require data and administration management and these will form part of the RSAs role.

 

  • Provide administrative support within the Corporate Relations department assisting the HoHRET Manager as required, including but not limited to :

     

  • Making arrangements for workshops, training sessions and other events run by the team.

     

  • Using the Ethical Trading Risk Assessment to upload and extract information as required.

     

  • Taking meeting minutes and circulating these.

     

  • Keeping administrative systems up to date, creating reports and collating data from multiple sources.

     

  • Supporting the team in producing presentations on PowerPoint and updates for senior internal stakeholders, customers and suppliers.

 

  • Supporting the HoHRET in keeping customer ethical trade policies and procedures updated, including identifying and communicating any significant changes internally.

 

  • Managing supplier data for environmental reporting on food waste, energy, water and other metrics.

 

  • Maintaining annual administration of relevant sustainability bodies such as the RSPO

     

    Knowledge, Skills & Experience

     

  • Highly organised, thorough and reliable with great attention to detail.

  • Good level of interest in the issues of social and environmental sustainability.

  • Familiarity with SEDEX system is preferred but not essential.

  • Experience of providing administrative support..

  • Able to work effectively as part of a team and communicate effectively with internal and external customers. .

  • Ability to build relationships

  • Competent user of Microsoft applications ( Outlook, Word, Excel, Powerpoint).
